1. Scope and program model
Eternal Lessons LLC is the Virginia-based business that operates Eternal View (“Eternal Lessons,” “Eternal View,” “we,” “us,” or “our”). This Privacy Policy applies to the Eternal View website, Coach and Client accounts, coaching workspaces, outside-feedback invitations, program administration, and related support communications.
Eternal View is offered only through an employer or other organization that sponsors a coaching program (the “Sponsor”). Sponsorship pays for or makes a person eligible for coaching. It does not give the Sponsor an Eternal View account, access to the product, or access to private coaching information. A Sponsor’s handling of information in its own systems is governed by its own policies, not this policy.
Mobile messaging privacy notice
We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.
Providing a mobile number and agreeing to receive a text are optional. A Client supplies an intended feedback participant’s mobile number and checks a separate SMS authorization box confirming that the person gave the Client permission to provide the number to Eternal View and receive one invitation and up to four reminders for the named survey. We use the number only to send that invitation and authorized reminders, manage delivery, honor STOP and HELP requests, and maintain required compliance records.
You may receive up to five survey texts: an invitation on day 1 and reminders on days 3, 5, 6, and 7, measured from the initial text. Reminders stop on completion or STOP. Missed reminders are skipped. If you opt out, you may also receive a one-time opt-out confirmation. Message and data rates may apply.
Operational service providers may process mobile information solely to deliver or support the requested messaging service. They may not use that information for marketing or promotional purposes.
2. People and roles
- Client: the individual participating in employer-sponsored coaching.
- Coach: an approved person who delivers coaching and has access only to authorized Client relationships.
- Sponsor: the employer or organization that funds or arranges access but has no Eternal View account or coaching-content access.
- Practice administrator: an Eternal Lessons administrator with a limited name, account email, role, status, approval, and account-allocation directory. Practice administrators cannot view coaching relationships or activity.
- Outside-feedback recipient: a person invited to respond to a specific private feedback request without creating an account.
Eternal Lessons determines how account, security, messaging, and platform-operation information is processed. If a written program or data-processing agreement assigns a Coach or another party additional legal responsibilities, that agreement does not reduce the rights or confidentiality commitments described here.
3. Information we collect
We collect the following categories as applicable to the person and features involved:
- Program eligibility and account information: name, work or personal email address, sponsoring program, eligibility or invitation status, verified identity-provider identifiers, account role and status, profile details, and account preferences.
- Professional and optional profile information: employer, position, industry, professional background, leadership experience, education, location, languages, public professional-profile links, and demographic, family, or personal context a Client chooses to provide.
- Coaching information: coaching relationships, prompts, written reflections, answers, private or shared notes, goals, obstacles, homework, tracked metrics, calendar items, and workflow status.
- Recordings: video or audio responses, upload and processing status, duration, deletion status, and consent records. We do not create facial-recognition templates, voiceprints, or other biometric identifiers from recordings.
- References and outside feedback: names, email addresses, mobile numbers, role or relationship context, invitation and delivery status, submitted feedback, and consent or permission records. A Client provides reference details; an invited recipient provides the response.
- Messaging information: email or text destination, delivery channel and status, provider message identifier, opt-out status, and the date and method of SMS permission. Mobile destinations and private invitation data are stored in protected form where the service design calls for it.
- Calendar and identity-provider information: provider account identifiers, authorization status, encrypted delegated credentials where a Coach connects a calendar, and the meeting details needed to create or cancel an authorized invitation.
- Security and technical information: session and authentication events, browser and device information sent in normal web requests, IP address, audit events, error codes, and rate-limit data. We do not place coaching content in application logs.
- Support information: messages and materials you send when requesting help. Please do not send coaching content or credentials through ordinary email.
4. Where information comes from
Information comes from you; your authorized Coach; an invited outside-feedback recipient; a Sponsor when it identifies a person as eligible for the program; an identity, calendar, email, SMS, or media provider you use; and ordinary technical requests made by your browser or device. When a Client provides another person’s contact details, the Client must have authority and any required permission to do so.
5. How and why we use information
We use information to confirm program eligibility; create and secure accounts; provide coaching relationships and requested features; deliver invitations; process and delete recordings; coordinate calendars; maintain consent, suppression, and compliance records; provide support; prevent abuse; troubleshoot; enforce access boundaries; comply with law; and improve reliability and usability.
Where a law requires a stated legal basis, we rely as applicable on performing our agreement with you; performing the Sponsor’s program agreement without disclosing coaching content to the Sponsor; your consent for optional recordings, calendar connections, or messages; our legitimate interests in operating and securing a private coaching service; and compliance with legal obligations. You may withdraw consent for future consent-based processing, but withdrawal does not make earlier lawful processing unlawful.
We do not send private coaching content or private profile information to an artificial-intelligence model, and we do not use it to train a general-purpose model. The Coach explains Fathom during Client onboarding and controls whether to admit it into Teams. When admitted, Fathom records the meeting and processes it with AI. Eternal View does not require separate Coach or Client approval for each meeting. Eternal View receives only the resulting summary and action items for the active Coach and Client. It does not import Fathom recordings or transcripts or send imported notes to another AI service. Either participant can stop future imports. The Coach can delete imported notes, and Client account deletion removes them from Eternal View; these actions do not delete Fathom’s independent copies. The Coach must stop recording and manage retention and deletion in Fathom separately.
6. The Sponsor privacy boundary
A Sponsor may know whom it offered the program to and may provide eligibility or business-contact information. Eternal View does not give the Sponsor access to a Client’s sign-in activity, coaching relationship activity, profile, demographic information, calendar details, prompts, answers, reflections, notes, goals, obstacles, homework, metrics, recordings, reference identities, outside-feedback responses, or support messages.
We may exchange only the limited administrative information needed for contracting, invoicing, eligibility, seat allocation, or program scheduling, including information the Sponsor already provided. If separately agreed, we may provide program-level statistics only after they have been aggregated or de-identified so they are not reasonably capable of identifying a Client. We do not provide individual participation, engagement, progress, performance, or outcome reports to a Sponsor. Eternal View is not used to make hiring, promotion, compensation, discipline, termination, or other employment decisions.
7. Who can see coaching information
Access depends on the feature and the active coaching relationship. A Coach and Client may see information deliberately shared inside their relationship. Owner-private notes remain visible only to their author. A Coach may see Client information that the Client submits or shares and relationship activity needed to provide coaching. Outside-feedback responses are delivered to the authorized Coach; the subject Client does not receive access through the invitation link. Eternal Lessons personnel do not routinely view coaching content and may access information only when reasonably necessary for authorized support, security, legal compliance, or service operation.
9. Sensitive information and recordings
Eternal View provides leadership coaching, not health care, therapy, or an employee-assistance clinical service. Do not submit medical records, diagnoses, treatment information, health-insurance information, genetic information, government identification numbers, financial-account credentials, or biometric identifiers. If you voluntarily mention personal wellbeing or other sensitive context in a free-form coaching response, we process it only to provide the private coaching feature you selected; we do not use it to infer a diagnosis, build a health profile, advertise to you, or report about you to a Sponsor.
Recording is optional. A person must receive appropriate notice and provide any consent required by law before a recording starts or is uploaded. Recordings are used only for the coaching or feedback workflow in which they were submitted. We do not use recordings for facial recognition, speaker identification, emotion recognition, employment scoring, or AI training.
10. Text-message privacy
Eternal View text messages are non-marketing invitations and authorized reminders for a specific private coaching feedback survey. The Client chooses the intended participants and supplies their contact details. Before entering an optional mobile number, the Client must have that person’s permission to provide the number to Eternal View and receive this invitation and reminder schedule. For each entered number, the Client—not the intended participant—checks the separate, initially unchecked Eternal View SMS authorization. No participant signature is required.
- Sender: Eternal View, a service of Eternal Lessons LLC.
- Frequency: Up to five texts per authorized survey request: day 1 invitation and day 3, 5, 6, and 7 reminders, plus a one-time opt-out confirmation when applicable. Reminders stop on completion or STOP; existing one-text permissions do not authorize reminders. We do not enroll recipients in recurring promotional texts.
- Charges: Message and data rates may apply.
- Choices: SMS is optional; if the person has not agreed, the Client must leave the mobile number blank and may invite the person by email instead. Reply STOP to opt out or HELP for help. You may also email admin@eternalview.org.
- No purchase condition: agreeing to receive a text is not a condition of buying any goods or services or participating in coaching.
The Client’s checkbox authorizes Eternal View to send on the Client’s request and confirms prior permission from the intended recipient; it does not let the Client override that person’s choice. Eternal View retains a versioned, timestamped receipt for each checked number and its authorized messaging schedule, along with delivery, provider, opt-out, or suppression records. If a recipient opts out, we notify the inviting Coach so they understand why texts have stopped. We retain these records as needed for compliance, dispute resolution, and preventing messages after withdrawal.
12. Security
We use administrative, technical, and organizational safeguards designed for the sensitivity of coaching information. These include encrypted transport, protected storage for designated private fields, role- and relationship-based authorization, short-lived or one-time invitation credentials, signed private-media access, audit events, and provider-first media deletion. No system can guarantee absolute security. Contact us promptly if you believe an account or invitation has been compromised.
13. Retention and deletion
Access to Eternal View may end when a sponsored program or coaching relationship ends, but access termination and data deletion are separate. Coaching information and recordings do not automatically expire while an authorized account or relationship remains active. Authorized users may delete supported items, and an account or privacy request may initiate broader deletion.
The ordinary in-product Client account-deletion workflow requires separate Client and active-Coach confirmations to prevent either person from unilaterally destroying a shared coaching record. That product safeguard does not allow a Coach or Sponsor to veto a statutory privacy right. A rights request sent directly to Eternal Lessons is evaluated record by record under applicable law, including lawful exceptions and the rights of other people. Where deletion applies, provider-hosted media and calendar invitations are removed before related database records. A provider failure pauses deletion so the request can be retried rather than leaving an inaccurate partial result.
Client sign-in invitations stop working at expiration or acceptance. Outside-feedback links have no calendar expiration and stop working after the invited person submits all feedback, is replaced or removed, the request is deleted, or the coaching relationship ends. We retain program-administration, consent, opt-out, security, audit, dispute, and legal records only for the period reasonably needed for those purposes. Limited backups remain under their normal protection and aging schedule and are not restored for ordinary use after deletion. At the end of the applicable period, information is deleted or de-identified.
14. Your choices and privacy rights
You may update available account information, choose whether to provide optional profile or coaching information, decline recording, disconnect optional calendar access, opt out of SMS by replying STOP, and request access, correction, deletion, restriction, objection, or a portable copy of personal information where applicable. You may also appeal a denied privacy request and lodge a complaint with the privacy or data-protection authority where you live.
Use available in-product controls or email admin@eternalview.org from the address associated with your account. State the right you want to exercise. We may verify identity and authority, and an authorized agent may submit a request where law permits. If we deny a request, you may appeal by replying with “Privacy Appeal” and the reason you believe the decision should be reconsidered. We do not discriminate or retaliate because someone exercises a privacy right, and we do not disclose a privacy request to a Sponsor except when strictly necessary and legally permitted.
15. U.S. state privacy notice
For residents covered by a comprehensive U.S. state privacy law, the categories collected are described in Section 3; sources in Section 4; business purposes in Section 5; and recipient categories in Sections 7 and 8. Depending on the feature, those categories may correspond to identifiers, customer-record information, professional or employment-related information, internet or electronic activity, audio or visual information, sensitive personal information voluntarily provided in coaching content, and inferences contained in user- or Coach-created coaching records.
During the preceding 12 months, as applicable to each user, we have disclosed these categories for the operational business purposes described in this policy to authorized participants and service providers. We have not sold them or shared them for cross-context behavioral advertising. We do not use sensitive personal information to infer characteristics for advertising or employment decisions. Rights may include knowing or accessing information, correction, deletion, portability, limiting certain sensitive-information uses, opting out of sale, targeted advertising, or qualifying profiling, and non-discrimination. Because Eternal View does not sell information, use targeted advertising, or perform qualifying automated profiling, those opt-outs do not currently change our processing.
16. Children
Eternal View is intended for adults and is not directed to anyone under 18. We do not knowingly create accounts for children. Contact us if you believe a child has provided personal information.
17. International processing
Eternal Lessons LLC is based in Virginia, United States. Service providers may process information in the United States and other countries with different data-protection laws. Where required, we use an adequacy decision, standard contractual clauses, the United Kingdom addendum, or another lawful transfer safeguard. You may request information about an applicable safeguard through the contact below.
18. Changes to this policy
We may update this policy as Eternal View or applicable requirements change. We will post the revised policy with a new effective date and provide advance or additional notice when required. Material changes do not give a Sponsor access to coaching information, expand an existing SMS permission to a new sender or subject, or authorize a new use of private content by an AI service.
